Can we customize projects like we do leads or opportunities?

March 31, 2017 by Brandi Johnson

There are hundreds of ways to run projects – from simple spreadsheets and whiteboards to complex project portfolio solutions. No matter which type of solution you choose, one of the key things to consider is how you can customize the solution to work for your unique business. Some common customization requests include:

  • The name of the person or department that requested the project
  • The budget for the project
  • Task descriptions (beyond subtasks)
  • Task types (like design or testing for software development)

Of course, the possibilities are endless!

Next, let’s take a look at how we can do one of these customizations using Cloud Coach Milestones.

Adding a “Request Department” to a Project Details Page

Since Cloud Coach solutions are native on Salesforce, they’re easy to customize. In this case, I want to create a new field where the person building the task can indicate which department requested the work. I may use this for insight on the project, but I also want to use it in creating new list views and reports. I add a new picklist to ensure that all the entries are the same to make my reporting and list views easier to manage.

Step 1: Create the picklist field on the Milestones Project Object.

In Salesforce, it’s easy to create a new field, even on a custom object.

Add the departments that make sense for your projects and organization.

Make sure that you add the field to your page layout.

Step 2: Add the field to the fieldset to show on your “Management Panel”

We’ve tried to make it easy for you to see the most important details of your projects or tasks directly on your Gantt chart page in the right-hand management panel. The fields displayed in the management panel are controlled by the “Gantt” field set on the Milestones Project object.

If you want to select this when you create the project, you can also add it to the “New Project” field set.

Please note: To edit a fieldset in Salesforce, you must switch to classic view.

That’s it! It really is that easy to customize your projects with the data you need.

Now that you’ve captured the data, you can customize your systems even more. For example, you could create a list view to just see projects requested by the Marketing department:

You could also build customized reports and dashboards based on the department. The possibilities for customization are nearly endless!
