How to Automate Project Creation

Creating Cloud Coach projects is a breeze using the Project Creation Wizard, but we’re always looking for ways to make data entry faster, so in this week’s two-minute use case we discuss how to automate your project creation using Salesforce Process Builder.

Thanks for joining us today as we look at how to automate project creation. Let’s go ahead and jump on into our Salesforce org. Now, this opportunity we have a use case where as soon as this is ‘Close Won’ and the amount is a certain amount we need to create a project from a template. Normally we can just scroll down to the related lists and click on ‘New Project’ and create a project that way, but in this case we want to automate it so it automatically creates that project for us.

We’re going to go over here to process builder, and you can see we already have a process that’s been created. So, in this case we’re going to start here on the Opportunity object and then we have a couple of nodes. Here you can see that we can set a couple different criteria—in this case, as soon as our opportunity stage equals Close Won and the amount is under a hundred thousand dollars we want to create a project.

Now, your coach license comes with an invokable apex class called ‘Clone Project.’ So, here we chose to call apex, we picked that Clone Project apex class, and then we set some field information. For example, we can tell exactly what project template we want to clone. If you’re wondering where I got that ID, we’re right here on a project and I just took that ID information here and put it right there. Now give it a name, tell it when to start, and then relate it back to that opportunity.

As you can see, we have the option to do a couple different criteria—if we are over a hundred thousand then we want to create a different project, so you can see here we pointed it to a different ID. And now when I go to my opportunity I can click here, change that stage name to Close Won, and since it’s over a hundred thousand
dollars we know which project it’s going to create. You can see we have two different projects, so as soon as this is done saving what’s going to happen is it’s going to automatically create that third project right there for me. Now, I can click my ‘Show Gantt’ button, go to my Cross-Project Gant, and start working on my projects, including the two that we already had on the opportunity as well as that third one that we just had created for us.
