This week the Cloud Coach team dives into Business Units and shows how you can link projects with departments and run reports showing KPIs.

Hello everyone, thanks for joining us this week. So, today we’re going to answer “where we can we go to see KPIs on our departments projects.” And for that we’re going to use the Business Units object here in Cloud Coach.

So, with Business Units what I can do is set up business units that live under a parent business unit, and then relate my projects back to them. And it’s as simple as going into Business Units, pressing on ‘New,’ and creating a new business unit like PR. Let’s go ahead and assign it to a parent business unit, maybe put it, under marketing or R&D, something like that. Or maybe just ‘Cloud Coach Business Unit’ and save it like that, and once I create that I can now link my projects to it. So, for example if I wanted to look at all of my sales’ projects I could go in here to my business units, I could go down here to sales click on that and if I have any projects related back to them I can see them all related there. For example, Engineering, we have several those projects and of course with our related lists we can use this in conjunction with our Cross-Project Gantt view to easily see those projects that are related to my engineering department.

I can also use this with reporting. I’m going to click here into one of the reports we’ve created, ‘Projects by Business Unit,” and here I’ve done just a couple of little metrics related to Business Unit. I’m looking at my business units by projects and I put in entered hours and estimated hours, but of course with salesforce it’s really as simple as going into ‘customize’ and adding in whatever kind of KPIs you need to see for your projects. Things like completion percent we can easily add in there by dropping it in as a field and then viewing my projects by completion percentage.

And there you go, a number of different ways that you can report on those KPIs once you group your project by a business unit. So, thanks for joining us again this week, and make sure to come back next week where we solve another problem in just two minutes. Take care everyone.
