Cloud Coach Tips & Tricks: Utilizing Field Sets to Enhance Your Project UI

One of the many benefits of using Cloud Coach is the ability to customize your UI in order to visualize the information you and your team needs most. Here at Cloud Coach we work to try and make these customizations as simple as possible so that everyone with the right access can do the modifications themselves. A good example of this is the ability to harness the simplicity of Field Sets to modify the information the user sees in different parts of Cloud Coach.

What are Field Sets in Salesforce and why do we use them?

Field Sets are groupings of Fields that can be displayed repeatedly in different Visualforce pages. 

Why do we use them? This is a simple way of allowing our users to customize Cloud Coach, It’s a convenient tool Salesforce provides to make quick and simple modifications to data sets. Additionally, one of the best parts of field sets is that they preserve field level security, which means if you don’t want a particular user to see sensitive data, you can hide that field from their user type and the field sets will honor that permission as well as standard Salesforce detail pages.

Where do we use Field Sets? Field Sets are used throughout Cloud Coach, and  are what manage the detail Section of the Side Panels, drive the visible columns in the lists inside our Visualforce pages, and even control the fields available when creating new records through our UI.

What do Field Sets look like in action?

A common example of this customization is the side panels that show when clicking on Project Tasks within a Project or the My Day page. If your company needs to visualize or easily modify more fields related to a Project Task you can add those fields to the Side Panel Field Set. 

Another advantage of these field sets is that you can harness the versatility of Record Types, which will allow you to show different sets of data depending on the Record Type of the Project Task.

How can you achieve this?

Luckily Cloud Coach has worked to make these modifications as simple as possible for the User. If you have access to the Cloud Coach Admin tab you can navigate to the User Interface section, where you can access the Field Set tab. 

Once on the Field Set tab, on the left side of your screen you’ll find the list of objects that you can modify by using Field Sets. Inside the list of Field Sets for that article you will be able to see where this Field Set is used so you know what you’re modifying.

How to select the desired fields

Once you’ve identified the Field Set you would like to modify in Cloud Coach admin and click the “Edit” link next to it you will be redirected to the Salesforce Setup. Once you’re redirected modifying the Field Set is simple, you just need to identify the Field You would like to add and just click and drag the field from the top of the page into the list.

Best practices when using Field Sets

  • The order in which the fields are organized in the list will be the same order the fields are presented in the Visualforce page. 
  • Certain Field Sets have hardcoded fields that cannot be removed.
  • Adding too many fields can clutter the page and cause confusion to users.
